Zoho CRM Integration

Overview

Connect Zoho CRM to bring CRM Contacts or Leads into OutCallerAI campaigns and send call outcomes back as Zoho Notes.

Capabilities

• Contact / Lead import: Import Zoho CRM Contacts or Leads into a selected OutCallerAI campaign.
• Field mapping: Choose which Zoho CRM fields populate lead name, phone, email, and notes.
• Duplicate prevention: Avoid duplicate campaign leads when the same Zoho CRM record is imported again.
• Call outcome sync: Send completed call summaries, outcomes, ratings, and next steps back as Zoho Notes.
• Recording links: Optionally include call recording links in Zoho Notes.
• Multi-DC support: Works with Zoho US, EU, IN, AU, and JP data centres.

Prerequisites

• A Zoho CRM account that can authorize access to the selected Contacts or Leads module.
• Permission to read field definitions and create Notes when call outcome export is enabled.
• An OutCallerAI campaign with an assigned agent.

Setup

1. Open Integrations: Go to the Integrations Dashboard and select Zoho CRM.

2. Connect Zoho CRM: Click Connect Zoho CRM and approve access from your Zoho account.

3. Choose a module: Select Contacts or Leads as the Zoho CRM module to sync.

4. Choose a campaign: Select the OutCallerAI campaign where imported records should be added as leads.

5. Map fields: Match Zoho CRM fields to OutCallerAI lead fields:

   • Name
   • Phone
   • Email
   • Description

   Name and phone are required for calling workflows.

6. Choose call outcome settings: Enable writing completed call summaries back to Zoho CRM Notes and optionally include recording links.

7. Save and sync: Click Save & Sync to save the mapping and import records into the selected campaign.

8. Run calls: Imported contacts can now be called from the campaign using your assigned AI agent.

How it works

After a Zoho CRM record is imported, it appears as a normal lead inside the selected OutCallerAI campaign.

When a call is completed, OutCallerAI can create a Zoho Note linked to the Contact or Lead with:

• Campaign name
• Call outcome
• Call rating
• Call duration
• AI-generated summary
• Follow-up tasks or next steps
• Recording link, if enabled

Verify the integration

Run Save & Sync with a small record set and confirm the mapped leads in OutCallerAI. Complete one test call and confirm a Note is attached to the original Zoho CRM record.

Troubleshooting

• Re-importing records updates existing imported leads instead of creating duplicates.
• Zoho CRM remains your CRM source of truth, while OutCallerAI handles calling and call outcome automation.
• Zoho accounts hosted in the US, EU, India, Australia, and Japan are supported.
• If authorization fails, reconnect through the correct Zoho data center for the account.
• If Notes are missing, confirm post-call export is enabled and the imported lead retains its Zoho record link.

Disconnect

Select Disconnect Integration in the Zoho CRM drawer. Existing Zoho Notes and imported OutCallerAI leads are retained.
