Sync selected Notion pages into OutCallerAI knowledge bases for your agents.
Overview
OutCallerAI connects to Notion so operators can select pages or databases and sync their content into a knowledge base. Agents on a use case that uses that knowledge base can retrieve the synced content during calls and chats.
Capabilities
- OAuth connect: Authorize Notion once at the workspace level.
- Manual page selection: Choose specific Notion pages or databases to sync (not your entire workspace).
- Knowledge-base sync: Content is chunked and embedded using the same pipeline as uploaded files and websites.
- Database properties: Synced databases include row titles and column values such as text, numbers, selects, and dates.
- Scheduled re-sync: Sources with auto-sync enabled refresh on the regular knowledge-base schedule.
- Use Case retrieval: When a use case selects the knowledge base, agents can answer from the synced Notion content.
Prerequisites
- A Notion account with pages or databases you want to sync.
- Pages must be shared with the OutCaller integration during Connect.
- An OutCallerAI knowledge base to receive the synced content.
- A use case with an assigned agent and that knowledge base selected.
Setup
- Open Integrations: Go to the Integrations Dashboard and select Notion.
- Connect Notion: Click Connect Notion and approve access in Notion. Share the pages or databases the agent should use.
- Open Setup: In the integration drawer, go to the Setup tab.
- Choose a knowledge base: Select which OutCaller knowledge base should receive the Notion content.
- Search and select pages: Search for Notion pages or databases, then select the ones you want.
- Add sources & sync: Click Add sources & sync. Processing continues in the background.
- Assign the knowledge base to a use case: In use case settings, select the knowledge base so agents can use the synced content on calls.
How it works
OutCaller reads content from the Notion pages you select. Text is extracted, chunked, and embedded into your knowledge base. Notion is not queried live during a call — the agent retrieves matching chunks from the selected knowledge base.
This integration is read-only. OutCaller does not write back to Notion. The same Notion page can only be attached once per workspace. Access is granted by the pages you share with the integration during Connect; Notion OAuth does not accept traditional OAuth scope query params. Registry capability labels (read_content, read_user_with_email) document what the connection can do for operators.
Verify the integration
Attach a short test page with a unique phrase, wait for sync to finish, then place a test call on a use case that uses that knowledge base. Ask a question that only the Notion page answers and confirm the agent uses the synced content.
Troubleshooting
- If a page is missing from search, confirm it was shared with the connected Notion integration and reconnect if needed.
- If sync fails or stays pending, open the knowledge base sources list and re-run sync for that source.
- If the agent does not use Notion content, confirm the use case has the correct knowledge base selected and sync completed successfully.
- If API or auth errors appear after a long idle period, reconnect Notion so a fresh refresh token is stored.
- Recent Notion edits may not appear until the next scheduled re-sync or a manual source re-sync.
Disconnect
Select Disconnect Integration in the Notion drawer. Existing knowledge-base sources and embedded chunks remain until you remove them from the knowledge base. Reconnect Notion before attaching new pages.
