Google Calendar Integration

Overview

OutCallerAI connects to Google Calendar so agents can check availability and book meetings during calls. Mapped calendar events also appear on the OutCallerAI Dashboard calendar.

Capabilities

• Live booking: Check free/busy availability and create meetings during calls.
• Calendar mapping: Assign a Google calendar to an OutCallerAI usecase.
• Availability rules: Configure days, hours, duration, buffers, and minimum notice.
• Invites: Send calendar invitations to leads after a successful booking.

Prerequisites

• A Google account with read/write access to the calendar you want to use.
• An OutCallerAI usecase with an assigned agent.
• Invitee email collection in the calling workflow.

Setup

1. Open Integrations: Go to the Integrations Dashboard and select Google Calendar.
2. Connect: Click Connect Google Calendar and complete Google OAuth. Grant calendar read/write access when prompted.
3. Add a mapping: In Setup, choose the target usecase and Google calendar.
4. Configure availability: Select available days, start and end times, meeting duration, buffer time, and minimum notice.
5. Save: Save the mapping. Each usecase can use one live scheduling provider at a time.

How it works

During a call, the agent requests real slots from the mapped calendar, offers only returned times, and creates the event after the lead confirms. Google sends the invite and OutCallerAI records the meeting on the Dashboard calendar.

Verify the integration

Place a test call on the mapped usecase and book a returned slot. Confirm the event in Google Calendar, the invitee email, and the Dashboard calendar.

Troubleshooting

• If no calendars appear, reconnect the Google account and confirm calendar access.
• If no slots are returned, review working hours, buffers, minimum notice, and existing events.
• If another provider is active, save Google Calendar for the usecase to replace that live scheduling mapping.

Disconnect

Select Disconnect Integration in the Google Calendar drawer. Existing Google Calendar events remain, but agents can no longer query or book the disconnected account.
