Google Sheets Integration
Sync your leads and call outcomes between Google Sheets and OutCallerAI.
Overview
OutCallerAI connects to Google Workspace so operators can select a spreadsheet from Drive and synchronize its rows into a target usecase as leads.
Capabilities
- Secure file selection: Choose the spreadsheet through the Google Drive picker after OAuth authorization.
- Lead synchronization: New and changed rows are detected and synchronized into the selected usecase.
- Field mapping: Map spreadsheet columns to the lead fields required by your workflow.
- Duplicate protection: Existing workspace leads are reconciled rather than blindly created on every sync.
Prerequisites
- A Google account with access to the spreadsheet.
- A sheet with one header row and consistent columns.
- Phone values with country codes, preferably in E.164 format.
- A target OutCallerAI usecase with an assigned agent.
Setup
- Authorize Google Account: Open the Integrations Dashboard and select the Google Sheets integration. Click Connect and authorize access to your Google Drive and Sheets.
- Select Worksheet: Use the secure file picker to select the spreadsheet and the specific sheet tab where lead names and phone numbers are located.
- Map Columns:
Map sheet columns to OutCallerAI fields:
- Name: The column containing the customer's full name.
- Phone: The column containing the phone number in E.164 format (e.g.
+1234567890). - Custom Details: Optional columns (e.g. "Property Type", "Budget") that the AI Agent will read to personalize the conversation.
- Select the target usecase: Choose where synchronized rows should be created or updated.
- Save and run the first sync: Review the reported lead count, then confirm several mapped rows inside the selected usecase before relying on automatic synchronization.
How it works
Use one header row and consistent columns. Phone values should include the country code. Avoid merged cells and formulas that produce different types across rows. Start with a copy of the production sheet when testing a new mapping.
Changes are synchronized asynchronously, so do not use the sheet as a transactional trigger that requires an immediate call. Verify the resulting lead before diagnosing the calling workflow.
Verify the integration
Add or update a test row with a unique phone number, run or wait for synchronization, and confirm the mapped lead values in the selected usecase.
Troubleshooting
- If the file is missing, confirm the connected Google account can access it.
- If rows are skipped, verify the header mapping and required name and phone values.
- If values are malformed, remove merged cells and normalize mixed formula or phone formats.
- If a recent edit is not visible yet, allow for asynchronous synchronization.
Disconnect
Select Disconnect Integration in the Google Sheets drawer. Synchronization stops; existing sheet rows and imported OutCallerAI leads remain.
